Dashboard & Monthly Digest
Two places give you company-wide visibility into billing: the live Active Billing Cycles view in Podio, and the first-of-month Monthly Digest Email.
The live dashboard: Active Billing Cycles view
Inside the Billing Cycles app there's a saved view called Active Billing Cycles. It shows every cycle that hasn't been Submitted or Skipped yet.
What you see
Sorted by Computed Billing Date ascending (soonest billing first), with these columns:
| Column | What it tells you |
|---|---|
| Linked Project | Job # and name |
| Billing Month | The cycle's month (e.g., 2026-05) |
| Computed Billing Date | When billing is actually due |
| Status | Pending Draft / Draft Sent / PM Reviewed |
| T-5 Prompt Date | When the Accountant got pinged |
| T-1 Prompt Date | The PM task's due date |
| Accountant | Who's on draft prep |
| Project Manager | Who's on markup |
| Notes | Optional context per cycle |
How to use it
- Bookmark it once. The URL is stable — drop it on your homepage or pin it as a Podio tab. Justin, Emilina, and Linda all have it bookmarked.
- Check it any time. It's live — what you see is what's true right now.
- Sort or filter as needed. You can re-sort the view in your session (e.g., by Project Manager to see "what's on my plate") without affecting anyone else's view.
If you want to see Submitted cycles too (for example, to confirm everything billed this month), an optional second view called All Cycles This Month can be added. It filters to Billing Month = current month and includes Submitted cycles. Ask Justin if this would be helpful for your role.

The monthly digest email
On the first business day of each month, leadership gets an email summarizing last month's billing.
Who receives it
- Justin McKenzie (jmckenzie@precisionsiteservices.com)
- Emilina
- Linda
When it sends
On the 1st of the month if that's a weekday. If the 1st is a Saturday, it sends on Monday the 3rd. If the 1st is a Sunday, it sends on Monday the 2nd. (The system uses business days to avoid weekend-only sends.)
What's in it
The subject line is [YYYY-MM] Billing Cycle Summary (e.g., 2026-04 Billing Cycle Summary).
The body is a table with one row per cycle for that month:
| Project | Billing Date | Status | Submitted On | Accountant | PM |
|---|---|---|---|---|---|
| 12345 - Job Name | 2026-04-15 | Submitted | 2026-04-15 09:32 | Linda | (PM name) |
| 12346 - Job Name | 2026-04-30 | PM Reviewed | — | Linda | (PM name) |
Below the table is a link back to the live Active Billing Cycles view in case you want real-time status.
How to use it
- Read it once on the 1st. You'll know within 30 seconds which projects billed cleanly and which slipped.
- Anything in Pending Draft, Draft Sent, or PM Reviewed at the time of the digest is a billing that didn't make it out the door last month. That's the list to chase down.
Beyond the dashboard and digest, every status transition also posts a short audit comment on the Linked Project. So if you're on a Project page and want to know what's been happening with billing, scroll to the activity stream — the latest comments tell the story.
