About the Settings Tab

What this is for

The Settings tab is where office administrators control how the app behaves for everyone. It is not for day-to-day data entry — it is for configuring the rules, schedules, and access that govern everything else.

Settings contains four separate pages. Each one handles a different area:

  • Automations — scheduled rules that automatically deliver the weekly report by email and text message on a day and time you choose. If you want the weekly packet to go out every Monday morning without anyone clicking a button, this is where you set that up.
  • Validation Rules — payroll policy numbers (lunch threshold, per-diem minimums) and the list of companies (entities) in the system. Changes here affect every time record and every report.
  • User Access — who can log in to the app and what they are allowed to do. Add new office staff, assign roles, and grant or revoke permissions here.
  • Activity Log — a read-only record of every action taken in the app. Use it to investigate a change or verify that a delivery happened.

Steps

  1. Click the Settings tab at the top of the screen.
  2. Choose the page you need from the dropdown:
    • Automations for scheduled delivery rules.
    • Validation Rules for payroll policy and company data.
    • User Access to manage who can log in.
    • Activity Log to review what happened and when.
  3. Make your changes on that page and save before navigating away.

Common mistakes

  • Changing payroll policy numbers mid-week. Validation Rule changes take effect immediately on all new calculations. If you change the lunch threshold on a Wednesday, the new number applies to all shifts processed after that point.
  • Deactivating a user who is still in a pending delivery. If an automation is running and the recipient has been deactivated, the delivery may fail. Deactivate users after the week's deliveries are complete.
  • Looking for field worker records here. Field worker profiles are under People, not Settings. Settings is for office staff only.

What to do if it goes wrong

  • Settings tab is not visible. Your account role may not include access to Settings pages. Ask an administrator to check your role in Settings → User Access.
  • A setting you changed did not take effect. Refresh the page and verify the value saved correctly. If it still shows the old value, try again and check for an error message at the top of the page.
