Common questions from accounting, operations, and admin staff. If you do not find your answer here, check Troubleshooting.


Why can't I log in?

The app only accepts Google Workspace accounts from the precisionsiteservices.com domain. If you use a personal Gmail address, you will be rejected. If you have the right company account but still cannot get in, your account may not have been added to the platform yet. Ask an admin to add you under Settings → User Access. A field worker's hours are wrong — what do I do?

Submit a time correction. Go to People → Time Corrections, find the record, and click the row to open the correction dialog. Fill in the correct values, add a note, and save. The correction will go into a queue for an accounting or admin user to approve. Once approved, the fix is automatically sent back to the Google Sheet. See Correcting a Time Entry for full steps.


Why is data showing as outdated or stale?

The app pulls data from the Google Sheet on a regular schedule (roughly every five minutes). If you just made a change in the spreadsheet, it may take a few minutes to appear here. If the data is more than 15–20 minutes out of date, ask an admin to check the sync status or trigger a manual sync. See Data Syncing Explained for more.


How do I add a new field worker?

Field worker records come from the Google Sheet — they are not created directly in this app. To add a new worker, add them to the source spreadsheet in AppSheet. The record will appear in the platform the next time the sync runs. Once it appears, an admin can review the worker's rate and crew assignment in People → Field Workers.


What does the amber (orange) badge mean?

An amber or orange badge means something needs your attention but is not critical yet. For example: a time correction that is pending approval, a job with a "Needs Review" CIP status, or a user with a "Limited" access level. See What the Colors Mean for the full color guide.


Why is the CIP status showing as "Needs Review"?

"Needs Review" on a Contractor Insurance (CIP) job means there are open clock-in records or unresolved time corrections on that job. The hours cannot be confirmed as complete until those are resolved. Go to Reports → Contractor Insurance, click the job row to expand it, and look at the support rows to see what is outstanding. Resolve any open records or pending corrections, then check the status again.


Can I export any report to Excel?

Yes. Most reports have a download button (usually in the top right of the page). Reports export as CSV files, which Excel and Google Sheets open automatically. Invoices also have a PDF export option. If you need a different format, contact IT.


I submitted a time correction but it is not approved yet — who approves it?

Time corrections are approved by users with the Accounting or Admin role. If your correction has been sitting in "Pending" status for a while, message the accounting team directly and ask them to check the queue at People → Time Corrections.


The automation reminder did not fire — why?

Automation rules run on a server schedule using the timezone configured on the rule (usually Mountain Time). If the rule was supposed to fire but did not, check the rule's run history under Settings → Automations. Common causes are a rule set to "Inactive" status, an incorrect day-of-week setting, or a server error on the last run. An admin can trigger the rule manually from that page.


How do I give someone access to the app?

Only admins can manage access. Go to Settings → User Access, click Add User, and fill in the person's full name, their company email address, and their role. Set the access state to Active and click Create User. The person can sign in immediately after that. See Access & Roles for full steps.


What is the difference between the Labor Report and the Weekly Report?

The Labor Report (under Hours → Labor Report) shows detailed labor cost broken down by job, cost code, and individual worker. Accounting uses it for billing. The Weekly Report (under Hours → Weekly Report) summarizes each crew's hours for the week and is used to get foreman sign-off before payroll runs. The Labor Report is about costs; the Weekly Report is about verification.


Can I undo a change?

There is no "undo" button in the app. However, every action is recorded in the Settings → Activity Log (Audit Log), so you can always see what was changed, when, and by whom. If a time correction was approved that should not have been, you can submit a new correction to fix the record. If a user record or job was changed incorrectly, an admin can edit it back. For anything more complex, contact IT.


Why does the invoice show "Needs Review" instead of "Ready"?

"Needs Review" on an invoice preview row means the system could not calculate the full labor cost — usually because the worker's hourly rate is missing, the company mapping is incomplete, or the hours total is zero. Click the row to see the specific issue. Resolve it in the relevant field worker or company record, then return to the invoice page and refresh the preview.
