Operations Role Guide

What operations staff do in this app

Operations staff use this platform to monitor what is happening in the field right now. You check who is clocked in, which jobs are active, which crews are working, and whether any field workers or jobs have issues that need attention. You are the eyes on the ground side of the office — not focused on billing, but on keeping the data accurate and the field teams informed.

Your daily tasks

  • Check live sign-ins. Go to People → Active Sign-Ins to see who is currently clocked in and where. This is your main screen for real-time oversight.
  • Review the field worker list. Go to People → Field Workers to check worker status, crew assignments, and whether anyone is marked inactive who should not be.
  • Check job status. Go to People → Jobs to review which jobs are active. Look for any jobs with CIP flags that may need attention before they affect billing.
  • Follow up on unresolved sign-ins. If a worker shows as clocked in from yesterday, contact the foreman to confirm the actual clock-out time and ask accounting to submit a time correction.

Your weekly tasks

  • Review the Weekly Report. Go to Hours → Weekly Report to see each crew's hours for the week. Operations staff often need this to confirm headcount and verify that hours match what foremen reported.
  • Check crew completeness. Make sure all active workers have a crew assigned. Workers without a crew assignment may not appear correctly in reports.
  • Follow up on pending time corrections. Go to People → Time Corrections and look for corrections that are sitting in "Draft" status. If a field oversight issue caused the error, make sure it gets submitted for accounting to approve.
  • Check the CIP Report. Go to Reports → Contractor Insurance to see which jobs have insurance flags. "Blocked" means something needs to be resolved before work continues on that job.

The Operations role focuses on read access and field-data tasks. Invoicing and payroll are handled by accounting.
