Admin Role Guide

What admin staff do in this app

Admins have full access to everything in the platform. You do everything accounting and operations do, plus you manage who can use the app, set up automation rules, and configure the validation rules that govern payroll calculations. You are also responsible for onboarding new office staff and new field workers when they join Precision.

Your daily tasks

  • Handle access requests. When a new employee needs to log in, you add them under Settings → User Access. When someone leaves, you set their account to Inactive.
  • Monitor the audit log. Go to Settings → Activity Log to review recent actions — especially any changes to user access or invoice records.
  • Unstick failed write-backs. If a time correction is stuck in "Failed" or "Manual Review" status, operations and accounting will escalate it to you. Check the error message on the record and either resolve it in the spreadsheet or mark it for manual handling.
  • Field escalations from accounting and operations. If a user cannot see a page or cannot perform an action, check their role and permissions under Settings → User Access.

Your weekly tasks

  • Review active automation rules. Go to Settings → Automations and check that scheduled reminders ran successfully. If a rule shows a failure on its last run, investigate and re-trigger manually if needed.
  • Audit temporary permission grants. Go to Settings → User Access and look at the Temp Grants column. Revoke any grants that have expired or are no longer needed.
  • Onboard new field workers. When new field workers start, their records arrive via the Google Sheet sync. Verify they appear correctly in People → Field Workers with the right crew, classification, and hourly rate.
  • Review validation rules. Go to Settings → Validation Rules and confirm the payroll policy settings (lunch deduction thresholds, per diem rules) are still correct.

Your permissions

Admins can do everything. There are no pages or actions in the platform that are off-limits to an admin.

Important: Always keep at least one other active admin account. If you deactivate your own account or the only admin account, no one will be able to manage access until IT intervenes.
