Quick answers to the questions PMs ask most often. Each answer points to the chapter page where the long version lives.

Account and sign-in

What email do I use to sign in?

Your PSS company Google Workspace email. Five domains are approved: @precisionsiteservices.com, @reconsiteworks.com, @sitedrywall.com, @precisionsiteworks.com, and @sitereconstruction.com. A personal Gmail won't work. See Signing In.

I signed in but my jobs aren't showing up. What's wrong?

Most likely one of three things. (1) Your "My Jobs" toggle is on but some of your jobs have your first name in the PM field instead of your user account — toggle My Jobs off to see them. (2) You're set up as a Viewer (not a PM), so the My Jobs toggle doesn't appear. (3) Your jobs may be closed — check the active/closed filter. See My Jobs vs. All Jobs and Troubleshooting.

How do I become a PM, or change my role?

Roles are managed upstream, not in JCI. Ping Jared McKenzie or the ops team to update the PM directory.

Data freshness

I just entered a budget but Budget vs. Actual doesn't show it. Why?

Budget entries save immediately, but Budget vs. Actual rolls up from dashboard tables that refresh every 4 hours. Wait up to 4 hours. See Data Refresh Rates.

A new PO landed on my job today. Why isn't it on the dashboard?

PO source data syncs nightly. Give it until the morning. See Data Refresh Rates.

The dashboard says "Live ← BigQuery" — is this real-time?

"Live" refers to the connection, not the data. Data is up to 4 hours stale on the rollup tier and up to a day stale on the nightly tier. See Data Refresh Rates.

Jobs and filters

Why are most jobs marked closed?

Historical. The system contains roughly 3,500 closed jobs and around 200 active ones (April 2026 snapshot). The default view filters to active. See Job Status.

Can I see jobs from other companies? Am I supposed to?

Yes. Everyone signed in can see every job across all 8 PSS operating companies. There is no per-company access control — the My Jobs toggle is the only scoping mechanism. See Companies and Access.

What do the five PO colors mean?

Blue = Confirmed (no action). Green = Accounting Costed (no action). Amber = PM Confirmed (waiting on accounting). Red = Pending PM (your turn). Gray = Missing Ticket. See PO Lifecycle Colors.

What's the difference between "% costed" and "% complete"?

They aren't the same. % costed reflects how much of a job's cost has been confirmed in accounting. % complete is physical progress. A job can be 100% built but only 20% costed if accounting hasn't caught up. See Job Status.

Action Queue

What's the difference between "Missing Ticket" and "Missing Cost Code"?

Missing Ticket means no ticket image has been uploaded for a PO line — it's the gray lifecycle status. Missing Cost Code is a different concept: a PO line or labor entry has no cost code assigned, and lives on a separate tab in the Action Queue. See PO Lifecycle Colors and Cost Codes.

What does "Pending My Action" show?

POs in red (Pending PM) status that are assigned to you. Confirming them advances them to PM Confirmed (amber), where accounting takes them next. See Pending My Action.

Budgets and change orders

Why is there no "Change Orders" row in Budget Entry?

Change Orders adjust contract value, not the cost budget. They flow through a separate contract record rather than through Budget Entry. See Change Order Terms.

Pump costs are all $0. Is something broken?

No. Pump costs are never populated in source data — this is a known gap in the upstream pipeline, not a dashboard bug. See Categories.

Why are there 7 categories in one place and 9 in another?

Two different systems. The 7 PO categories tag each purchase or labor entry. The 9 PM Sheet budget categories are used in budget entry and are more granular (Rebar and Fuel get their own rows on the budget side). The dashboard maps between them automatically. See Categories.

Search and navigation

Cmd+K on Mac, Ctrl+K on Windows. You can also click the Search button in the sidebar. See Global Search.

Yes. Use the Copy Link button, or copy the URL from your browser. Deep links preserve the job, tab, and most filters. See Deep Links and Sharing and Copy Link.

Widgets

Can I rearrange the widgets on a page?

Yes. Drag widgets to reorder, and use the Pin button to lock a layout. The gear (settings) icon lets you hide or show specific widgets. See Reordering and Pinning.

I don't want to see widgets at all. Can I hide them?

Yes. Use the eye toggle in the sidebar to hide all widgets at once. See Showing and Hiding.

Exports and sharing

Can I export a job's PO list to Excel?

Yes — use the CSV export button on the PO Detail tab. The export reflects the current filters. See CSV Export.

Other

Something's broken or numbers look wrong. Who do I tell?

Ping Jared McKenzie. Before you report, check Troubleshooting for known issues — most "this number looks wrong" cases turn out to be refresh lag.

Does the dashboard work on my phone?

Yes, but the experience is better on tablet or desktop. The mobile layout is functional, not the primary target. See Mobile Behavior.
