Equipment

The Equipment sub-tab lists every piece of equipment recorded as on site for this job, sorted by most-recently-seen first. Each row shows when the equipment first showed up, when it was last seen, how many days it's been on site, and a quick "On Site" or "Last Seen" status badge.

It's the answer to "what equipment is on my job today, and how long has it been there?" — without needing to read each daily report.

Where the data comes from

Equipment on this page is sourced from the daily reports filed by site staff. When a daily report mentions a piece of equipment on site, that counts as a presence for that day. We add it up across reports to produce the table here.

What "On Site" actually compares against

The On Site badge means the item appeared in the most recent daily report on this specific job — not "today." If the last daily report on this job was a week ago, items in that report still show On Site. Daily reports are the source of truth here, not the calendar.

"On Site" is relative to the latest daily report on this job, not the current date. If reporting has lapsed for a few days, every On Site badge is at minimum that old. When you need real-time location for a company-owned vehicle, the Fleet sub-tab is the live view; this page is the daily-report rollup.

Days on Site is presence-counted

An item that shows up Monday, disappears Tuesday through Thursday, and shows up again Friday counts as two days on site, not five. Days on Site is the count of distinct daily-report dates the item appeared on — not the calendar gap between First Seen and Last Seen.

Don't subtract First Seen from Last Seen to estimate days on site — the math will overshoot whenever the equipment was idle in between. The Days on Site column already counts the right way.

Equipment names come from the daily report

The Equipment column is whatever site staff typed into the daily report — free text, not selected from a master list. So the same machine can appear under multiple spellings on a single job ("Skid Steer," "skid-steer," "Bobcat 553") and show as separate rows.

If you spot duplicates, that's a data-entry pattern at the daily-report source — the dashboard surfaces what was typed.

Equipment that never appeared in a daily report won't show up

If a piece of yard equipment was assigned to the job but no daily report ever mentioned it, this table won't list it. There's no separate deployment ledger feeding this view. Daily reports are the only input.

Cross-company equipment loans

When a job needs a piece of equipment owned by a sister company, that equipment can legitimately appear on a job whose company is different from the equipment's home company. This is the normal "equipment loan" pattern — a PSS job can use a PSW machine while the job itself stays attributed to PSS.

If you see an equipment item on this list that you recognize as belonging to a sister company, that's expected. The job stays where it is; only the equipment's origin differs.

Empty state

A job with no equipment ever recorded shows "No equipment recorded for this job." That's normal on small or new jobs and isn't an error.

How fresh the numbers are

Equipment data refreshes overnight from the daily-report source. So a piece of equipment mentioned in today's report won't appear here until tomorrow morning. This is not the same four-hour cadence the PO numbers use — equipment is a nightly refresh. See Data refresh rates for the full picture.
